MEMBER SPCIALIST
REPORTS TO: Chief Operations Officer
FLSA: Full-Time
PRIMARY FUNCTION:
Assist the Office Manager with clerical functions of the organization including membership attendance, preparing correspondence and reports, maintaining schedule and calendar, answering telephones, receiving and receipting money and donations, and maintaining electronic and hard copy files.
ROLES & RESPONSIBILITIES:
• Exercise critical thinking when addressing problems relating to members, parents, and the community; utilizing the guidance and discipline plan and crisis communication process.
• Develop partnerships with parents, community leaders and organizations.
• Conduct tours of the club.
• Assist in tracking daily income and expenses, while handling & receipting money.
• Assist in preparing and making daily deposits.
• Submit invoices pertaining to programs; communicate with parents regarding outstanding balances.
• Create and hold accountable parents on payment plans, sending outstanding accounts to collections.
• Track donations (in-kind and monetary) and properly filling out donation sheets & giving it to the Director of Finance.
• Ensure all member data is entered properly including confidential information, payment plans, survey information, photos, and items needed to ensure members are in "active status".
• Ensure youth development staff are entering daily attendance and tracking all incidents, accidents, mentoring, etc.
• Assist with data entry in member tracking system (membership forms, payments, etc.)
• Coordinate member transportation schedule.
• Assist with member's education process plans. (IEP's)
• Fill in for youth development professionals in their absence, including bus rider and YDP.
• Ensure members have all requirements of active membership prior to attending the club. (Orientation, photo, parent permissions, and other releases.)
• Create and communicate volunteer opportunities as needed and requested.

RELATIONSHIPS:
Internal: Maintains close, daily contact with Club professional staff to ensure a clean, healthy, safe, positive environment
External: Maintain contact with parents, volunteers, community leaders and organizations to represent the club in a positive manner.
QUALIFICATIONS:
- High School diploma required. Bachelor's Degree from an accredited institution of higher education preferred.
- A minimum of 1 years' work experience in a Boys & Girls Club or similar organization overseeing daily operations.
- Strong communication skills, both oral and written.
- Demonstrated ability in working with young people, parents and community leaders.
- Ability to meet deadlines.
- Demonstrated ability to be in compliance with funding sources.
- Ability to manage multiple tasks and develop solutions to problems with limited supervision.
- Mandatory CPR and First Aid Certifications.
- Valid state driver's license and CDL-P license to operate our busses.
- Be a "team" player in order to reach our goals.
- Ability to pass pre-employment and annual background checks in addition to pre-employment and random drug/alcohol testing.
- Possess basic computer skills; email, excel and word.
Physical Requirements/Work Environment:
Typically works in an indoor environment with frequently walking excursions. Ability to lift 20 pounds. Ability to work with frequent interruptions and changes in work priorities, prioritize tasks, and maintain confidentiality.
